EHALE is a Belgian wholesaler of e-cigarettes, e-liquids, aromas, and accessories. EHALE believes it can provide consumers with delicious e-liquid, high-quality flavors, and convenient accessories at the most affordable cost and best quality. EHALE is a reliable partner, trading in quality-assured products. They ensure timely delivery of all bulk products and collaborate with some of the most well-known and trusted brands in the industry.
Challenges are increasing
As the company grew, errors and redundant work multiplied exponentially. Initially, EHALE's warehouse management relied more on traditional processes, which hindered work accuracy and timely product delivery. Due to the lack of automation and scanning workflows, it was difficult to track products, as they were often incorrectly picked or misplaced. Previously, they required a large amount of manual labor, thereby increasing errors and reducing efficiency.
Since the provided items are consumables (edible), the product unit with the shortest shelf life should be removed from the rack first. On a first-expiry-first-out basis, the FEFO method must be used to select products that expire earlier.
In addition, the company also found it difficult to guide employees through the warehouse. Because EHALE's warehouse is divided into different locations, zones, and departments. Staff need a route to take the most efficient path to the main area, scanning the correct products at locations within the zone. After observing a decline in efficiency, an increase in time delays, and a deterioration in work structure, the company recognized the need for a modern ERP system.
"The core needs of our multi-company enterprise, as well as some other ERP requirements, are an all-encompassing warehouse management system. We want our employees to enjoy a pleasant warehouse experience, from mobile scanning software to replenishment and advanced reordering. You must understand that you need some specific mechanism to accurately suggest product picking areas for batch and retail orders as well as other related processes."
Changed the system's solution
Odoo is a one-stop solution that meets all of EHALE's needs. To make the process smooth, error-free, and automated, Odoo solves these issues like a professional. EHALE chose Emipro Technologies, a reliable partner of Odoo, to implement the system.
This system has become so efficient that the process from product picking to delivery has become smooth. The system itself is managing most of the content. Once personnel select an order, the system allows them to choose the most economical route and shows them the locations of various products one by one. The system's product recommendations are made using the FEFO method, which indicates which products are approaching their expiration dates and therefore must be picked first.
For packaging, Odoo recommends which and how many boxes to use for each order's packaging, which is the optimal use of packaging resources. When purchasing products, the dimensions of each product are entered into the system to calculate box suggestions.
The warehouse is divided into four areas: single, bulk, bulk, and pallet. When the population of a specific area reaches an alarming level, the population of that area is replenished from the next larger area. This system provides suggestions for supplementary replenishment.
All warehouse-related chaos ends with barcode scanning workflows and software automation in the warehouse. Emipro includes fast scanning of product labels and displays all product details immediately after scanning. Additionally, they can now access the history of which user placed which product on which shelf or pallet.
Fast and efficient packaging operations. Even if a product is lost or misplaced, the system will correctly identify it and record it in the appropriate places, such as inventory reports, stock valuations, and accounting loss records. In short, warehouse management has been greatly simplified and deepened.
The new solution can also manage the restocking of products from sellers. The system provides you with low-stock product and product analysis, such as sales over the past X days, the number of units remaining in the warehouse, the number of units reserved, etc., based on restocking forecasts and subject to management approval.
After purchasing from the supplier, it goes through an evaluation phase. If there are quantity or quality issues, the supplier RMA solution allows the company to choose how to handle the return transaction. If quality or quantity issues are discovered when unloading the product, a supplier RMA is generated. Return or exchange standards, such as handling defective products or returning excess quantities, as well as how to adjust the amount, must be specified in the RMA.
Impact of ERP Integration
The main benefit of the integrated system is that all redefined processes now save time and require significantly less manual work than before. Recommendations for various warehouse tasks include cart suggestions based on order size, product picking process suggestions, packaging box suggestions, product put-away process suggestions, and replenishment process suggestions. Odoo's advanced features comprehensively enable precision and acceleration of the order fulfillment process through automation.
By streamlining warehouse processes through business solutions, business expenses, processing, and personnel costs are significantly reduced. Warehouse digitalization optimizes the utilization of warehouse space and related resources. These products are now strategically placed on shelves and racks for simple picking. As warehouse employees increasingly focus on their actual execution activities, their productivity has improved.
Due to the tracking records of this system, inventory data analysis and stock valuation have been greatly simplified. As a result, there is better inventory control, less inventory, and fewer inventory losses.
